How to download a meeting transcript from Zoom, Teams or Google Meet

Most meeting tools can save a written transcript and let you download it as a file. Here is where each one keeps it. Steps and plan requirements change, so each section links the vendor's own help page.

Zoom

Transcripts come with cloud recordings, on Pro, Business, Education and Enterprise accounts with cloud recording and audio transcription turned on.

  1. Sign in to the Zoom web portal.
  2. Go to Recordings & Transcripts, then the Cloud recordings tab.
  3. Click the meeting's name, then the recording. The transcript is the .vtt file.

  1. In Teams, select Chat and open the past meeting's chat.
  2. Select Recap, then Transcript.
  3. Select the arrow next to Download and choose .docx or .vtt.

By default, meeting organizers and co-organizers can download the transcript. Your IT admin may allow others.

Google Meet

Meet saves each transcript as a Google Doc in the organizer's Google Drive, in the Google Meet folder, and emails a link to the host, any co-hosts and whoever turned transcripts on. It's also attached to the Calendar event. Transcripts are available on some Google Workspace editions, such as Business Standard and Business Plus.

To keep a file, open the Doc and choose File, then Download, then Microsoft Word (.docx).

  1. Open the conversation, click the three dots, then Export.
  2. Choose TXT (or DOCX on paid plans) and keep Show speaker names on.
  3. Click Export.

On Otter's Basic plan, exports are TXT only.

  1. Open Meetings, then the meeting.
  2. Click the Download icon at the bottom.
  3. Choose DOCX, turn on Include speaker labels, then download.

Downloads need a Fireflies Pro plan or higher.

Before you record or transcribe

Depending on where you are, you may need to tell the people in a meeting that it's being recorded or transcribed. Most meeting tools show a notice when transcription starts.

What to do with the file

Keep the speaker names on: a transcript is much more useful when it shows who said what. Sixen reads .vtt, .docx and .txt transcripts, and can open Google Meet transcripts straight from Google Drive.
